Best Accounting Software for Small Business: Free and Self-Hosted Options Compared

• 8 min read • By the OpenSourceCRMs team

Short answer

If you want one free system that can grow with you, start with ERPNext. If you only need accounting and invoices, try Bigcapital. If you want the simplest setup on ordinary web hosting, try Dolibarr. A desktop app such as GnuCash is enough for one person.

Search for the best accounting software for small business and the first page is full of paid cloud products. They are good, but they are not your only option. This guide looks at accounting tools you can run yourself, where the source code is public and there is no per-user fee. We checked every project on GitHub for license, archive status and recent activity, and we say plainly where a tool falls short.

Stars and dates are a snapshot from 16 October 2026. They show project activity, not quality.

What the free tools do well, and where they fall short

They are strong on the ledger. Double-entry bookkeeping, a chart of accounts, receivables, payables and the standard reports are all there in the better projects. They are weaker on convenience. Automatic bank feeds, polished mobile apps and one-click tax filing are usually what you pay for in cloud products. Plan to import bank statements and to ask your accountant about local tax filing.

ERPNext

Full ERP with accounting. Double-entry accounting sits inside a complete ERP with sales, purchasing, stock and HR. It is the most complete free option for a growing small business, but it needs more setup and learning than a simple bookkeeping app.

Bigcapital

Focused small-business accounting. A modern accounting app built around invoices and financial reports. A good choice if you want accounting without the rest of an ERP.

Dolibarr ERP CRM

Freelancers and very small teams. Combines invoicing, proposals, stock and an accounting module in one PHP application that runs on ordinary hosting.

LedgerSMB

Traditional double-entry, multi-user. A long-running web-based double-entry system with receivables, payables, invoicing and inventory. The interface is plain, and it favors accounting correctness over looks.

Odoo Community

Invoicing; accounting is limited in Community. Odoo Community includes an Invoicing app, but the full Accounting app (bank reconciliation, advanced reports) belongs to the paid Enterprise edition. Check this before you plan around it.

GnuCash

One bookkeeper on a desktop. Mature desktop double-entry accounting. It is mainly a single-user application with no built-in web access.

hledger

Technical users who like plain text. A command-line tool that reads a plain-text journal and prints balance sheet, income statement and cash flow reports. Great for developers, not for a typical office.

ERPSAAS

Laravel-based accounting platform. A newer MIT-licensed accounting platform built with Laravel and Filament. The community is smaller and repository updates are less frequent, so evaluate it carefully.

Names that appear in “free” lists but are not open source

Check the license before you commit. These show up often in roundups:

  • Akaunting: Licensed under the Business Source License (BSL), a source-available license, not an open source license. Repository
  • Invoice Ninja: Licensed under the Elastic License 2.0, which is source-available but not open source. Repository
  • Frappe Books: The GitHub repository is archived (read-only), so it no longer receives updates. Repository

A safe way to switch

Step 1. Export your current chart of accounts and opening balances.
Step 2. Set up the new tool on a test server and enter one month of real transactions.
Step 3. Compare the trial balance with your current books. They must match.
Step 4. Ask your accountant to review the reports and the export format.
Step 5. Go live at the start of a month or quarter, and keep the old system read-only for a year.

Hosting it yourself

Example: a four-person design studio

An illustrative example, not a real company.

A studio with four people sends about 30 invoices a month, pays a handful of suppliers and shares a bank account with an accountant who does quarterly reviews. They do not carry stock and do not need payroll inside the same tool.

They shortlist Bigcapital and Dolibarr. The deciding factors are accountant access, invoice templates and how easily the accountant can export a ledger. They install on a small VPS, load three months of old transactions as a trial, and ask the accountant to check the trial balance before going live.

At month end the owner reconciles the bank, checks receivables and sends a PDF of the profit and loss to the partners. The whole routine takes under an hour once the chart of accounts is stable.

Mistakes that cost small businesses time

  • Skipping the chart of accounts discussion with your accountant, then recategorizing everything later.
  • Running accounting on a server with no tested backup.
  • Customizing the tool heavily before you have used it for a month.
  • Letting the books fall two or three months behind because “the software is set up”.
  • Choosing a tool nobody on the team can support when the person who installed it leaves.

Self-hosted vs paid: the honest trade-off

Choose a paid cloud product when your accountant already works in it, when you need automatic bank feeds on day one, or when nobody can maintain a server. Choose self-hosted when you want to avoid per-user fees as the team grows, keep data on your own infrastructure or customize workflows. The honest cost of self-hosting is your time plus a few dollars of hosting, so count both.

Web-based accounting needs a server with HTTPS and daily backups. A small VPS or a web hosting plan from a provider such as Hostinger is enough to begin with most of these tools. Check the project requirements first, and follow our security and backup checklist.

Need a server to host it?

Self-hosting a CRM needs a server. PHP and MySQL apps can often run on ordinary web hosting, while Docker, Node, Python or Java apps usually need a VPS. Check each project's requirements first. Hostinger offers both shared web hosting and VPS plans.

A note on tax and compliance

Tax rules, invoice formats and filing deadlines depend on your country, for example GST in India or VAT in Europe. Open source tools give you the ledger. They do not guarantee compliance. Confirm the setup with a qualified accountant.

Frequently asked questions

What is the best accounting software for small business?

It depends on your size and needs. Paid cloud products are easiest to start with. If you want a free, self-hosted option, ERPNext is the most complete, Bigcapital suits accounting and invoicing only, and Dolibarr runs on ordinary hosting.

Is there free accounting software for small business?

Yes. ERPNext, Dolibarr, Bigcapital, LedgerSMB and GnuCash are free to download and run. You pay for hosting, backups and your own time.

Do I need accounting software or a spreadsheet?

A spreadsheet can work for a very small business. Move to accounting software when you need balance sheets, bank reconciliation, multiple users or accountant access.

Can free accounting software handle GST or VAT?

Check each tool and its community apps for your country, and confirm with an accountant before filing. Tax rules change.
