Best ERP Software for Small Business: Do You Need One, and Which Free ERP to Try

• 7 min read • By the OpenSourceCRMs team

Most lists of the best ERP software for small business start with the tools and skip the harder question: do you need an ERP yet? An ERP ties accounting, sales, purchasing, stock and HR into one system. That is powerful, but it also means weeks of setup. Many advisors suggest very small teams stay on accounting and inventory tools until the complexity justifies a bigger system.

Signs you are ready

  • The same data is typed into three places.
  • Stock levels in your sheet never match the shelf.
  • Month-end close takes days because systems do not talk to each other.
  • You need one version of the truth for sales, purchases and cash.

A realistic rollout plan

PhaseWhat you set upTypical focus
1Accounting, customers, suppliers, itemsGet clean master data
2Sales and purchasingQuotes, orders, invoices, bills
3Stock and warehousesReceipts, deliveries, counts
4HR, payroll, projects, POSOnly the modules you truly need

Do not start with everything. Migrate data in a test copy, train two people well and run old and new in parallel for a month. Related guides: accounting, inventory and point of sale.

Check the edition

Odoo Community is open source, but some features, such as full accounting, belong to the paid Enterprise edition. ERPNext has an official hosted option on Frappe Cloud if you would rather not run servers.

Questions for an implementation partner

  • How many projects like ours have you completed, and can we speak to one?
  • What is included in the fixed price, and what is billed by the hour?
  • Who owns the server and the data?
  • What happens at upgrade time?

Example: a 20-person trading company

An illustrative example, not a real company.

A trading company has accounting in one tool, stock in a spreadsheet, and sales orders in email. Month end takes a week because nothing matches.

They choose ERPNext and implement in phases. First accounting, customers, suppliers and items. Second, sales and purchasing. Third, stock. They migrate data in a test copy, train two key people well, and run the old process beside the new one for a month.

It takes longer than hoped, but the next month-end closes in two days.

Common mistakes to avoid

  • Trying to switch everything at once.
  • Skipping data cleanup before migration.
  • Over-customizing in the first months.
  • Training only one person.
  • Choosing an ERP your team cannot support.

When paying for a cloud product makes sense

Large paid ERPs offer vendor support and partner networks. Free ERPs reduce license cost but need implementation skill. Consider an official hosted plan or a partner for the first year if your team lacks experience.

ERPs need more than basic web hosting. Plan for a VPS with enough memory, backups and monitoring, from a provider such as Hostinger, or use the project's official hosted plan. Read our security checklist first.

Need a server to host it?

Self-hosting a CRM needs a server. PHP and MySQL apps can often run on ordinary web hosting, while Docker, Node, Python or Java apps usually need a VPS. Check each project's requirements first. Hostinger offers both shared web hosting and VPS plans.
