A sales pipeline shows every deal by stage, so you know what to chase this week and what to expect next month. Top lists of the best sales pipeline software for small business usually rank paid CRMs with a visual board. The same board is available for free in several CRMs you can host yourself, and each is listed in our verified directory.
Do you even need pipeline software?
If one or two people handle sales and you have a dozen deals, a spreadsheet works. Move to software when deals slip through the cracks, you want a team view, or you need to forecast.
Design stages that match how you sell
| Stage | Exit criterion | Example win chance |
|---|---|---|
| New lead | Contacted and responded | 10% |
| Qualified | Budget and need confirmed | 30% |
| Proposal sent | Quote delivered | 50% |
| Negotiation | Terms being discussed | 70% |
| Won | Order or contract signed | 100% |
Example percentages only. Use your own historical win rates.
A tiny forecast
Three open deals: 10,000 at 20%, 5,000 at 50%, and 8,000 at 80%. The weighted forecast is 2,000 plus 2,500 plus 6,400, so 10,900. It is far more realistic than adding up 23,000 of hopeful deals.

Rules that keep a pipeline honest
- Every deal has a next step and a date.
- Deals with no activity for 30 days get reviewed or closed as lost.
- Keep stages to five or six.
- Record the reason for every loss.
Example: a three-person B2B services firm
An illustrative example, not a real company.
A firm has about 25 open opportunities and three people selling. Deals slip because nobody owns the next step.
They define five stages with clear exit rules, give every deal a next action and a date, and review the board every Monday. Deals with no activity for 30 days are either revived or marked lost with a reason. A weighted forecast uses their own historical win rates.
Within a quarter, forecasts become more reliable, and they learn which stage loses most deals.
Pitfalls to watch for
- Too many stages.
- No next step on a deal.
- Using percentages from the internet instead of your own data.
- Never closing stale deals.
- Not recording loss reasons.
Should you pay for this instead?
Paid pipeline tools are polished, with mobile apps and email sync. Self-hosted CRMs give you a board and reports without per-user fees. Choose the one your team will update daily, not the one with the longest feature list.
Pipelines connect to lead management before and quoting after. For a fresh start, see the full CRM directory. Hosting a CRM is straightforward on a VPS or a suitable hosting plan, for example from Hostinger.
Need a server to host it?
Self-hosting a CRM needs a server. PHP and MySQL apps can often run on ordinary web hosting, while Docker, Node, Python or Java apps usually need a VPS. Check each project's requirements first. Hostinger offers both shared web hosting and VPS plans.
