Best Financial Reporting Software for Small Business: Which Reports You Need

• 6 min read • By the OpenSourceCRMs team

Financial reporting software for small business shows up in two flavors online: the reports built into your accounting system, and add-on tools that sit on top. For most small teams, the built-in reports are enough, provided the books underneath are clean. This guide helps you decide what you need and which free tools produce it.

Which report answers which question?

A 30-minute monthly review

  1. Reconcile the bank accounts first, so the data is trustworthy.
  2. Read the profit and loss and compare it with last month.

When to add a dashboard tool

Add a business intelligence tool such as Metabase or Apache Superset only when you want custom charts or to combine data from several systems. They need a database connection and someone comfortable with SQL. Superset is the heavier of the two.

Reports are only as accurate as the entries. Pair this with our bank reconciliation guide. Statutory accounts and tax filings must follow local rules, so confirm formats with your accountant.

Example: a small manufacturer preparing for a bank meeting

An illustrative example, not a real company.

A manufacturer needs last year's profit and loss, a current balance sheet and a cash flow statement for a loan discussion. The bank also asks for a trial balance.

Before running reports they reconcile every bank account, review receivables and check for odd balances. Then they export the statements as PDF and spreadsheet. The accountant reviews and adds notes.

Because the books were clean, the reports needed little explanation, and the meeting focused on the plan instead of the numbers.

Common mistakes to avoid

  • Running reports before reconciling.
  • Mixing cash-basis and accrual figures.
  • Building complicated dashboards on inaccurate data.
  • Not agreeing report formats with the accountant.
  • Ignoring period locks.

When paying for a cloud product makes sense

Built-in reports are enough for most small businesses. Paid add-on reporting tools provide polished templates and budgeting. Free BI tools such as Metabase and Superset help with custom charts but need technical effort. Match the tool to the questions you actually ask.

Reporting tools usually run on a VPS. A provider such as Hostinger offers VPS plans suited to this.

Need a server to host it?

Self-hosting a CRM needs a server. PHP and MySQL apps can often run on ordinary web hosting, while Docker, Node, Python or Java apps usually need a VPS. Check each project's requirements first. Hostinger offers both shared web hosting and VPS plans.
