• 5 min read • By the OpenSourceCRMs team

“Vendor management” means different things to different readers: a procurement team managing suppliers, an IT lead tracking software vendors, or a staffing agency managing contractors. This guide is about the first and most common meaning for small businesses: knowing who you buy from, on what terms, and how they perform.

Choosing without overbuying

  • A supplier module inside your ERP is usually enough, and avoids a separate system.
  • If vendors are mainly IT suppliers, a tool like GLPI that tracks contracts beside IT assets can fit.
  • If you only have a dozen suppliers, a shared spreadsheet with the fields above is a fair start.

Protect the data

Vendor records hold bank details, which attract fraud. Restrict who can edit bank details, require a second check for changes, and keep a change log. See our security checklist. Related reading: purchase orders.

Example: a restaurant group with 25 suppliers

An illustrative example, not a real company.

A small restaurant group buys from 25 suppliers. Contracts renew automatically, and nobody remembers which supplier raised prices last.

They create a supplier record for each vendor with terms, price history and contract dates, and add a reminder 60 days before each renewal. Delivery problems are logged as notes. Bank detail changes need a second person's approval.

A year later they have a clear view of who is reliable and where they saved money by renegotiating.

Common mistakes to avoid

  • Letting bank details be edited by anyone.
  • Missing renewal notice periods.
  • Keeping supplier data in personal inboxes.
  • Never reviewing performance.
  • Buying a separate vendor tool when the ERP already has the records.

When paying for a cloud product makes sense

Dedicated vendor management platforms focus on risk scoring and onboarding portals, which most small businesses do not need. Supplier records inside an ERP are usually enough. Pay for a specialist tool only if compliance or supplier volume demands it.

Self-hosting needs a server with backups. A VPS or hosting plan from Hostinger is an option for most of these tools.

Need a server to host it?

Self-hosting a CRM needs a server. PHP and MySQL apps can often run on ordinary web hosting, while Docker, Node, Python or Java apps usually need a VPS. Check each project's requirements first. Hostinger offers both shared web hosting and VPS plans.
